LEASE ADMINISTRATOR – EQUIPMENT FINANCE
Location: Irvine, California
Compensation: $80,000–$95,000 base salary, based on experience

Altius Search Group is recruiting on behalf of an established equipment finance client seeking a Lease Administrator to support both its Information Technology and Industrial/Material Handling equipment finance businesses.
This individual will coordinate transactions from credit approval through documentation, funding, booking, and post-closing administration. The Lease Administrator will work closely with Sales, Credit, Legal, Accounting, customers, and equipment vendors to ensure transactions are documented accurately and completed efficiently.

PRIMARY RESPONSIBILITIES
• Prepare equipment lease, loan, and related transaction documents in accordance with approved credit terms.
• Coordinate documentation and closing requirements with customers, vendors, sales representatives, and internal departments.
• Review executed documents for accuracy, completeness, proper authorization, and satisfaction of funding conditions.
• Collect and verify invoices, equipment schedules, acceptance certificates, insurance evidence, and other required documentation.
• Verify customer, vendor, equipment, pricing, and transaction information before funding and booking.
• Complete or coordinate corporate-status, lien, UCC, title, and other due-diligence searches.
• Prepare and file UCC financing statements and assist with collateral and lien-perfection requirements.
• Assemble complete funding packages, coordinate vendor payments, and support accurate transaction booking.
• Maintain accurate and complete records within the company’s lease-management system.
• Track outstanding documentation, resolve discrepancies, and follow up with the appropriate parties to meet closing deadlines.
• Support transactions involving technology hardware, software, services, and related assets.
• Review detailed IT equipment schedules, serial numbers, vendor invoices, acceptance requirements, and multi-location installations.
• Support progress payments, staged deliveries, interim funding, amendments, and other technology-finance structures.
• Administer transactions involving industrial, material-handling, manufacturing, transportation, construction, and other hard assets.
• Coordinate titles, inspections, appraisals, insurance requirements, and proof of equipment ownership when applicable.
• Verify asset descriptions, identification numbers, delivery, installation, and acceptance documentation.
• Support documentation and collateral-perfection requirements associated with titled or specialized equipment.
• Provide responsive service to customers, vendors, sales representatives, and internal stakeholders.
• Assist with post-closing documentation, reporting, audits, portfolio administration, and special projects.
Job requirements
QUALIFICATIONS
Previous experience in equipment finance, commercial lending, lease documentation, funding, booking, or transaction administration.
Experience supporting multiple equipment types, ideally including technology and industrial or material-handling assets.
Familiarity with equipment leases and loans, UCC filings, insurance requirements, titles, and funding procedures.
Strong attention to detail and the ability to interpret credit approvals and contractual documents accurately.
Ability to manage multiple transactions and competing priorities in a deadline-driven environment.
Strong organizational, problem-solving, communication, and customer-service skills.
Proficiency with Microsoft Office, including Excel.
Experience with equipment finance lease-management systems or CRM platforms is preferred.
Bachelor’s degree or an equivalent combination of education and relevant professional experience.
IDEAL CANDIDATE
The successful candidate will be organized, accurate, proactive, and comfortable administering transactions across both technology and industrial equipment portfolios. This individual will communicate clearly, identify missing or inconsistent information, exercise sound judgment, and take ownership of transactions through completion.
COMPENSATION
The anticipated base salary range is $80,000–$95,000. Final compensation will be determined based on the candidate’s relevant experience, equipment finance knowledge, and ability to manage transactions independently.
